This policy explains what GearSked collects, how we use it, and how we keep product analytics and operational logs away from customer record contents.

Who we are
GearSked provides organization software for party rental businesses at gearsked.com. You can contact us at support@gearsked.com.
Information we collect
We collect account information such as name, email address, authentication details, session data, and account settings.
We collect the business records you choose to enter into the app, including inventory, customer records, rental records, reminders, settings, notes, and CSV import data.
We collect subscription status and billing identifiers from Stripe. We do not store full card numbers.
When you contact support, we collect the information you send us, such as your name, email address, messages, and attachments, so we can respond to your request.
We process technical information needed to deliver and secure the service, including authentication sessions, network/request information processed by our infrastructure providers, and limited operational diagnostics. Optional product analytics are described below.
How we use information
- Provide, operate, secure, and maintain GearSked.
- Authenticate users and protect accounts.
- Manage subscriptions, billing status, cancellations, and account access.
- Store and organize rental business records inside each account.
- Prevent booking conflicts, support CSV import/export, and power app workflows.
- Diagnose errors, monitor abuse, improve reliability, and understand which product areas are used.
- Respond to support, legal, or security requests.
Browser storage
Unfinished customer and rental forms may be kept in your browser tab session so you can return to them after navigating away. These drafts can contain the contact details and business information you type. They are separate from analytics and are not included in product usage events or operational logs.
Drafts are scoped to your account, expire after eight hours without edits, and are cleared when you save, discard, or sign out in that tab. Expired drafts are removed when next accessed. Your browser may retain tab sessions when restoring closed windows; sign out before leaving a shared device.
Analytics and logs
When enabled, product analytics count approved feature actions and outcomes in monthly totals across the service. These counters do not contain account identifiers, hashed user identifiers, customer records, IP addresses, device identifiers, or individual event timestamps. We do not calculate unique users or keep per-account activity histories in these counters.
Usage reports cover the last completed month, omit low-count entries, and round reported counts. These measures reduce linkability, but we do not claim that aggregation alone guarantees anonymity, particularly when few people use the service. Optional collection remains disabled until its privacy review is complete.
Application diagnostics use approved module/action labels, fixed error codes, HTTP statuses, and coarse duration categories. The logging interface excludes submitted content, record identifiers, request URLs, cookies, credentials, and raw error messages or stacks. The application does not load a browser analytics beacon or send errors to Sentry.
Infrastructure providers may still process request metadata and security information to deliver and protect the service. This processing is separate from product usage counters and is not described as fully anonymous.
How we share information
We do not sell your personal information or your customer records. We share information only as needed to provide and protect GearSked, comply with law, process payments, or operate infrastructure.
Service providers include Cloudflare for hosting, database, security, operational logs, and automated account emails; Stripe for payments and subscription billing; and Zoho Mail for storing and exchanging support emails handled by us.
Your customer data
Your rental business records and customer records remain your responsibility and belong to your business. We use that data only to provide, secure, support, and improve GearSked, or as required by law.
GearSked is responsible for how it uses account, billing, and support information to operate its service. For customer records entered by a rental business, that business generally acts as the data controller and GearSked processes those records on its behalf. If your request concerns a rental business that uses GearSked, contact that business or contact us for help routing your request. We assist the business with requests concerning records we process for it.
You should not store highly sensitive regulated information in GearSked, such as Social Security numbers, full payment card details, medical records, or similar data that the app is not designed to handle.
Retention, export, and deletion
We keep account and workspace data while your account is active or as needed to provide the service, comply with law, resolve disputes, prevent abuse, and maintain backups.
If product analytics are enabled, monthly counters are retained for the current month and the preceding eleven months; older counters are removed by scheduled daily cleanup. Operational-log and backup retention are managed separately with our infrastructure providers.
GearSked includes CSV export tools for key business records. To request account or personal-data deletion, email support@gearsked.com. Canceling a subscription or archiving a customer or rental does not erase the stored records.
Deletion rights have legal exceptions. For example, some billing records may need to be kept to meet tax obligations, or specific records may be needed for legal claims. We will explain any records we retain, why, and the applicable retention period or criteria. Backup copies are handled separately from active records; we will explain any remaining backup retention rather than promise immediate removal from every backup.
Security
We use reasonable technical and organizational safeguards for a small SaaS product, including authenticated access, owner-scoped records, security headers, server-side validation, logging, and payment processing through Stripe. No internet service can be guaranteed to be completely secure.
Your choices and rights
Depending on applicable law, you may request access, correction, deletion, restriction of processing, or a portable copy of your personal data, and object to certain processing. Where we rely on consent, you can withdraw it without affecting earlier lawful processing. You may also complain to your local data protection authority.
How to request deletion or exercise your rights
Email support@gearsked.com and tell us what you would like us to do. If possible, use the email associated with your account or identify the rental business involved. You do not need an active subscription, a special form, or legal wording to make a request. Do not send passwords, full payment card details, or identity documents with your initial email.
We may ask for limited additional information if we have reasonable doubts about your identity, to protect your records from unauthorized access or deletion. We will ask only for what is necessary.
Requests are free of charge. Where the GDPR applies, we act without undue delay and respond within one month of receiving your request. If complexity or the number of requests makes an extension necessary, we may take up to two additional months, but will explain the reason and extended deadline within the first month.
We will confirm the action taken. If we cannot fulfill all or part of a request, we will explain why and, where applicable, your right to complain to a data protection authority or seek a judicial remedy. An acknowledgment alone does not complete your request.
Children
GearSked is intended for business use and is not directed to children. You must be at least 18 years old to create an account.
Changes
We may update this Privacy Policy as GearSked changes. The updated version will be posted on this page with a new last updated date.
